SaaS lifecycle email examples

Onboarding emails make up 49% of all the emails in this collection, while welcome emails account for 38%. The timing reflects that focus: 46% arrive on signup day, including Captions welcoming users and Windsurf asking them to complete setup. Arize makes the first action especially concrete with “Your first trace is one command away”, while TidyCal directs users toward a customized booking page.

The next messages continue with one product step rather than a broad tour. LastPass explains how to install its extension and enable autosave, Plausible asks users to add their first site, and Linear recommends connecting Slack, Teams, and GitHub. Later reminders still name the unfinished job: Site24x7 asks users to add a monitor, while Courier offers help with messaging workflows on day 7.

The subject lines commonly use an imperative, a specific outcome, or a welcome formula. Expo frames an onboarding lesson as “Successful developers build early”, Notion presents a feature as “Let Notion take notes on your next call”, and Windsurf uses “Ready to ship? Complete your setup”. These lines tell readers what the email is about without requiring a broad brand claim.

Personalization adds relevance without changing the action. Gamma uses “[First name], power up your gammas”, while Infogram asks the recipient to share a first chart. Preview text often completes the promise, as in Captions’ “Let AI edit your videos for you” and MotherDuck’s “Connect a source and your first one prompt pipeline is minutes away.” Use the subject for the outcome and the preview for the first step.

Several brands add a concrete incentive or resource to a setup message. Pictory invites users to a live webinar and promises 100 AI Credits for attending, while Prose offers a complimentary starter set after a skincare consultation and subscription. Gamma shifts from education to an upgrade prompt by naming higher limits, custom branding, stronger models, and monthly credits.

Beyond Pricing sends the same playbook theme twice on day 0, with the later subject “The Owner Acquisition Playbook: growing your hosting business”. This creates a useful follow-up pattern: repeat the resource while adding a broader business outcome. Keep the call to action aligned with the offer, whether that means downloading a guide, attending a webinar, or upgrading.
