Local Pickup Ready Email Template for Retail and Omnichannel Orders

“Your order is ready” is not enough for a pickup workflow. The recipient needs a location, opening hours, collection deadline, order reference, and a clear handoff requirement.
Trigger contract
Send when the order is physically available at the selected location and staff can hand it over. Do not send when inventory is merely allocated or in transit.

Variants
- Curbside: include the arrival instruction and a safe way to signal staff.
- Locker: include locker number only if the link is protected; explain collection expiry.
- Multi-location: name the selected location and how to change it.
- Partial order: identify which items are ready and which remain.
- Age-restricted goods: state the legal ID requirement clearly.
Do not place a QR code or pickup token in a public preview if it can be used by anyone who sees the email.
Suppression rules
Cancel the ready-for-pickup email when the order is collected, canceled, returned, moved to another location, or marked unavailable. If the hold deadline passes, transition to an expired-pickup workflow instead of repeating the original message.
QA checklist
- Inventory state is ready, not merely allocated.
- Location hours are current and localized.
- The order reference matches the customer.
- Collection requirements are truthful.
- The email handles partial orders and alternate collectors.
- Pickup, cancellation, and expiry events suppress duplicates.

Pickup-specific edge cases
If the order contains age-restricted, oversized, or temperature-sensitive goods, state the handoff requirement and storage limit. If only part of the order is ready, list the ready items and explain whether the customer can collect them separately.
For alternate collectors, use the account’s supported authorization flow. Do not ask the customer to email a photograph of an ID or place a reusable pickup code in a public URL. A QR code should be short-lived and invalidated after collection.
Operational checks
Inventory can change between the ready event and the pickup time. If staff cannot fulfill the order, send an exception update instead of leaving the ready message active. Measure collection within the hold window, expired pickups, support contacts, and reshipment or refund outcomes.
Make collection requirements unambiguous
The customer should not discover a handoff rule at the counter. State whether they need an order number, government ID, QR code, or an authorized collector record, and link to the supported way to change the collector. For age-restricted or temperature-sensitive items, explain the legal or storage limit without asking the customer to email identity documents.
For curbside pickup, give the arrival lane, parking or check-in instruction, and the safe signal staff will recognize. For lockers, show the location and opening hours but keep the access token short-lived and protected. If a QR code can be used by anyone who sees the email, require an authenticated order view instead.
Model location and readiness changes
A ready event should include location ID, item IDs, local timezone, opening-hours version, and hold-policy version. If the order moves stores, is partly ready, or becomes unavailable, cancel the old message and send the new state with one clear action. Do not leave two locations in the same email without saying which one is current.
Test a location closed unexpectedly, a holiday-hours change, an alternate collector, a partial order, expired pickup, canceled order, and a customer who collects while the email is queued. Successful pickup and low support volume matter more than a high open rate.
